Your Aid Award Runs on 2024 Income. The Appeal That Fixes It Falls Apart When ChatGPT Writes It.

If your household lost income after you filed the FAFSA, federal law lets a school reopen your numbers. Aid officers say they can spot the chatbot-written appeal, and one consultant says a letter he wrote by hand moved a student more than $40,000. Here is what to send instead.

Your kid’s aid award for this fall came out of your 2024 tax return. If the job that produced that income is gone, the number is wrong, and federal law says a school can fix it.

The catch is that fixing it requires you to write a letter. And right now, a lot of families are letting a chatbot write it for them.

Inside Higher Ed reported on July 23 that financial aid offices are fielding a wave of appeals that read like they came out of a prompt box. Charles Harper, director of financial aid at Belmont University, described what tips him off: some of the instances in which families reference their need for aid seem β€œvery across-the-board, anyone could write this.” Robert Piechota, who runs financial aid at the College of Saint Benedict and Saint John’s University, said you could tell some of the AI letters were probably going out to every school in the hope somebody throws additional funding at them.

Kevin Murphy, a consultant at College Aid Pro, gave the verdict on a ChatGPT-drafted appeal he reviewed: β€œIs it terrible? No. Is it going to get them a huge grant increase? No.”

The letter he wrote by hand for that student was worth more than $40,000 in additional aid.

Here’s what the generic letter is missing. The thing you are asking for has a name, professional judgment, and it is not a plea for sympathy. The 2026-2027 Federal Student Aid Handbook says an aid administrator may adjust the components of your cost of attendance and the data elements behind your Student Aid Index and your Pell eligibility. Those are line items. You are asking the school to replace a specific 2024 number with a specific 2026 number, and to do it because you can prove the first one no longer describes you.

A chatbot cannot prove that. It does not have your final pay stub.

Do this in the next two weeks. Call the financial aid office and ask for their special circumstances form. Schools are required to publicly disclose that students may request an adjustment, so if the website hides it, the phone works.

Then write four short paragraphs yourself. What changed. The exact date it changed. The dollar difference between 2024 income and what the household will actually earn in 2026. What you are asking them to reconsider.

Attach the proof: the termination letter, the last pay stub, the unemployment award notice, unreimbursed medical bills, a death certificate. The Handbook requires the administrator to document the reason for approving or denying you, so give them something to put in the file.

File at every school still in play. The adjustment only counts at the school that grants it.

One deadline nobody mentions. A school cannot make a professional judgment for a student who has stopped being eligible or is no longer enrolled. This term is your window.

What is professional judgment on a FAFSA?

It is the authority federal law gives a school's financial aid administrator to override your reported numbers when your real situation does not match them. The 2026-2027 Federal Student Aid Handbook says an administrator may adjust components of your cost of attendance and the data elements used to calculate your Student Aid Index and your Pell Grant eligibility. It also says what they cannot do: the law does not allow a school to modify the formula or the tables used in the SAI calculation, only the cost of attendance components or the values of specific data elements. The statutory basis is Section 479A of the Higher Education Act.

Does an approved appeal carry over to my other schools?

No. The Handbook states that the adjustment is valid only at the school making the change. If you are choosing between three colleges, you file a separate request at all three. Each aid office decides on its own, and each one is required to review requests case by case and document the reason it approved or denied yours.

Is there a deadline to file a special circumstances appeal?

There is no single federal date the way there is for FAFSA corrections. The limit in the Handbook is enrollment: a school is not permitted to make a professional judgment for a student after that student has ceased to be eligible, including when the student is no longer enrolled. Individual schools set their own internal cutoffs, which are often tied to the end of the term, so call the aid office and ask for theirs rather than assuming you have until spring.
